The Social & Influencer Lead owns this programme end-to-end and runs it autonomously. This playbook defines exactly how the programme operates, what is automated, and the specific moments that require Rachel's involvement.
Ownership
The Social & Influencer Lead owns every stage of the creator funnel from Prospecting through to Active Partner. Rachel does not manage day-to-day creator operations. The programme runs autonomously — Rachel is only looped in at the specific moments defined below.
Autonomous Agent — How It Runs

This programme runs itself. No manual intervention required.
The Social & Influencer Lead operates as a fully autonomous agent. She prospects, personalises, emails and follows up without being asked. Rachel receives a daily summary and is only contacted when a decision is needed.
Prospect & Outreach Run — Twice Daily
Runs automatically at 9am EST and 6pm EST every day — 10 prospects per run, 20 per day total.
1. Generates 10 new creator prospects (travel, fashion, safety, lifestyle — nano to macro)
2. Inserts all 10 into the pipeline as Prospecting
3. For every prospect with a public email — writes a personalised outreach email and sends it from creators@rachelbloom.com, moves creator to Outreach Sent
4. Sends Rachel + Saul a summary after each run: who was emailed, who needs manual outreach (visible in Prospecting tab)
48-Hour Follow-Up Check
Scans all creators in Outreach Sent where the initial email was sent 48+ hours ago and no follow-up has been sent yet.
Automatically fires the follow-up email from creators@rachelbloom.com and marks follow_up_sent in the CRM.
Two touches maximum — no further automated contact after the follow-up.
Inbound Reply Detection
Make.com watches creators@rachelbloom.com (via rachelbloomcreators@gmail.com relay) every 5 minutes.
When a creator replies — email matched to CRM record by email address, stage moves to In Negotiation automatically.
Rachel + Saul receive an instant notification with the full reply and a direct link to the creator profile.
If flat fee language is detected — holding reply fires automatically, Rachel is escalated immediately, agent steps back completely.
Rachel's Role — The Handover Points
The agent handles everything up to and including negotiation within standard terms. Rachel takes over at these specific moments only:
Flat fee or paid placement request
Agent sends a holding reply immediately, emails Rachel with full context, and steps back completely. Rachel takes over from rachel@rachelbloom.com. See Flat Fee Escalation Rule below.
Macro creators (100K+ followers)
A personal note from the founder makes a real difference at this level. Agent flags to Rachel before outreach goes. Rachel decides whether to send the first email personally from rachel@rachelbloom.com.
Deal configuration & contract
When a creator is ready to move to Active Partner, Rachel manually sets the deal terms in their Full Profile (commission rate, deliverables, product gifted, discount codes) and sends the contract. The agent cannot set commercial terms — this baton always passes to Rachel.
Manual outreach for email-less prospects
Creators without a public email land in the Prospecting tab. The daily summary lists exactly who needs manual outreach with their handle and profile link. Reach out via Instagram DM or their contact form directly.
Inbound applications
Applications from creators.rachelbloom.com land in the Inbound tab. Review and approve or reject within 24 hours — never leave anyone waiting. Approval fires an automated welcome email. Rachel then sets the deal terms in the profile.
The 6-Stage Pipeline
Prospecting
Added to pipeline, no contact yet. Either no email found (needs manual DM — check daily summary) or awaiting the next 9am run.
Outreach Sent
Initial email sent. Awaiting reply. Follow-up fires automatically at 48 hours. Two touches max — no further automated contact after follow-up.
In Negotiation
Creator replied and is interested. Standard terms: 25% commission, gifted product, 2 posts + 1 Story per month. Flat fee mention = escalate to Rachel immediately.
Contract Sent
Agreement sent, awaiting signature. Chase once after 5 days. If no signature after 10 days, personal check-in. Cold = move back to In Negotiation.
Active Partner
Signed. Rachel has set deal terms. Welcome email sent. Affiliate link + promo code generated. Commission tracked automatically. Check in every 2 weeks.
Rejected
Not a fit, or no response after 2 touches. Never delete — circumstances change. Note the reason in the profile.

Flat Fee Escalation Rule
HARD RULE — NO EXCEPTIONS
If any creator mentions a flat fee, guaranteed payment, upfront cash or paid placement — DO NOT negotiate, counter or imply it is possible.
1. Send a warm holding reply from creators@rachelbloom.com: "Let me check our current partnership structure with the wider team and come back to you shortly."
2. Email rachel@rachelbloom.com immediately with subject: "Creator flat fee request — [Name] ([Handle], [Followers] followers)"
3. Step back completely. Rachel takes over from rachel@rachelbloom.com.
4. Note in CRM: "Flat fee requested — escalated to Rachel [date]"
Ref Links & Promo Codes
Every active partner gets two things:
Influencer tracking link: rachelbloom.com?ref=[firstname] — e.g. rachelbloom.com?ref=emma. Set in their Full Profile. Primary attribution method — cookie follows customer through to checkout.
Promo code: [FIRSTNAME][DISCOUNT] — e.g. EMMA10 (nano/micro, under 100K) or EMMA15 (macro, 100K+). Create manually in Shopify → Discounts → Create discount → Percentage → no minimum, no expiry.
Send both in the Welcome — Active Partner email once Rachel has configured the deal terms in the profile.
Commissions
Commission is tracked automatically via the ?ref= link and promo code on every Shopify order. Review the Commissions tab at the start of each month:
1. Click Load to pull all creator-attributed orders
2. Review GMV, commission owed and unpaid amounts per creator
3. Pay each active partner (bank transfer or PayPal)
4. Click Mark all paid on their row to update the CRM
5. Flag anything unusual to Saul before paying
Commission rate is set individually per creator by Rachel in their Full Profile. Default founding rate is 25%. Always confirm the agreed rate before paying.
